1)
3DX Organisers – Initial Proposal
The 3DX standard has been introduced as a way for the 3D Community to standardise its evaluation and ranking of 3D pilots. Borne out of many years as the fundamental 3D Masters format, 3DX has an enviable pedigree and following among the World’s top 3D pilots, and we propose that you use it as the format for your event.
3DX Community
We envisage a worldwide 3D Community which shares a common currency. Men who play football at the local park on a Sunday morning play to the same rules that the World Cup is played to. We want that to be true of 3DX also.
We believe that 3DX will help to publicise and popularise 3D around the world, with resulting increased sales of equipment, increased activity and increased acceptance of your event and your efforts. Having a common 3DX presence will allow Organisers, Sponsors and Pilots to involve themselves in as much of this activity as their ambitions allow, and your event can establish itself as one of those major world happenings.
Rather than try to make your event ‘different’, you do not need to waste valuable time and resources to differentiate your event format. Instead you may use the format the world knows and accepts. The 3DX website will help with booking in pilots, event rules, scoresheets and provide the scoring system as an Excel Spreadsheet. Even the Organiser of a small event will be exposed to opportunity for sponsorship he would never normally reach to support his event, and he knows that he is part of a world movement, seen to be supporting grass-roots development of our sport.
On application for acceptance into the 3DX Community you will be asked to fill out a short questionnaire about you, your resources and your event. Once that is completed satisfactorily, you will be allocated a micro-site which will carry details of your event, entry forms, rules and other details plus advertising. This advertising may come from Sponsors and supporters found by you, or may come from 3DX Sponsors who will be actively encouraged by 3DX to support your event. 3DX may require flightline banner space and trader space so that its Sponsors may have a presence at your event. If this is the case you will receive a percentage of the fee for booked space. The Entrants to your event will fill out the Entry Form, and you will have access to a reporting system, which will give you up-to-the-minute information on the status of your event. The 3DX site will carry a count-down to your event from 60 days to run until the event itself.

Your responsibilities
• Fill out the plan for the event with time-line information – a template for this is available from the site and it must be kept up to date. All required resources must be listed and sourced.
• Advertising costs are very modest and exposure to the whole 3DX community is guaranteed, so we want you to bring your Sponsors into the 3DX Community. Every sponsor has the opportunity not only to be seen on your Microsite, but also on the World scene. 3DX may also bring Sponsors to your event.
• During the event, detail someone to take photographs of every Sponsor, every advertisement and every banner at the event. These should be forwarded to your 3DX photo gallery so that Sponsors can see what their money has bought.
• File a report of the event onto your microsite – a full list of Prizes, Sponsors, & Winners is a minimum requirement. Remember that 3DX will only succeed with Sponsorship, and so it is important that Sponsors are kept informed. If your event is a success, you will find things much easier next year if you have kept your Sponsors happy.
• Do not try to differentiate your event from 3DX. The whole point of 3DX is that the world flies to the same standard. If your event has its own website, it must carry a link to the 3DX site.
• Everything associated with your event and 3DX will be treated as confidential by 3DX, you will be expected to retain that confidentiality. Please also remember that the website and everything contained therein is copyright.

Annexe 1 - The 3DX Format
The 3DX format is based on the successful 3D Masters format, which has grown to become the Internationally recognised 3D Competition flown by the World’s top 3D Pilots. The Basic Form covers many scenarios, for example a Peer-judged event, a small local event, or even a major event if the Organisers feel that the system suits their needs. However, we can see certain extra elements may be of interest, but please bear in mind that these add complication and must be thoroughly assessed well in advance of the event going public.
They must be clearly and concisely written into your event rules and approved by 3DX.
3DX Basic Form
In its simplest form, 3DX comprises 5 Set Manoeuvres chosen from the current published 30 3DX Set Manoeuvres, and a Freestyle Flight. Thus the Entrants choose their Set Manoeuvres before the contest begins and then fly them when their turn comes, followed by their Freestyle Flight.
Additional Elements
Fly Twice
An additional option if time allows is to fly the whole event twice and make the winner the entrant with the most points in total. This is catered for in the standard scoresheet.
Classes
If after the entry sheets have been received it is noted that the ability of entrants is very diverse, the Organiser may decide to create a 2-class event, with Advanced and Novice Classes. The idea here is usually to maintain the interest of the lower-ability or newcomer entrants, who do not want to find themselves at the end of a very long list.
‘k’ factor
In defining their Set Manoeuvres, the entrants will have chosen figures which they believe they will be able to fly on the day. They have therefore to some extent graded themselves, and so the Organiser can split the classes according to the total ’k’ of the declared manoeuvres. Thus in an entrants list where the abilities range between a total ‘k’ of say 14.5 (the maximum) down to a total ‘k’ of 5 (the minimum) the Organiser may decide to add up the total ‘k’ of the whole field and divide by the number of entrants to yield the average ‘k’. The Organiser will then split the field into 2 classes, above and below the average ‘k’ (it is likely that some adjustment of this ideal scenario may be required). This is at the discretion of the Organiser and the methodology does not have to be disclosed to the entrants provided that the Event Scope discloses that there may be 2 classes.
Finals
In some cases it may be desirable to hold a ‘Finals’ of say the top 3 or 5 (in each class if applicable). The important element to consider here is that the overall scoresheet will be affected by the fact that pilots have flown a different number of flights. We want to keep the 3DX scores meaningful worldwide, and so we suggest that if the ‘Finals’ option is taken, all scores are zeroed for the finalists, and then they fly their Set Manoeuvres and Freestyle again.
The desire to carry over any part of the existing score should be resisted as it may distort the final scores or even mean that a pilot who has done particularly well may not need to fly in the Finals – which of course is counter-productive.
The final scoresheet then carries the results of the top 5 clearly delineated from the remainder of the field in each class – remember that a Finalist may crash and score 0 in the Finals, or at least may not achieve his score of the first round and be placed behind the 6th place man in his published score.
Communication
It is vital that the format of your particular event is communicated loud and clear to entrants, and that they understand exactly what they are expected to do and what you are expecting to do. The overall format should be described in the Event Scope, and the finer points in the Event Rules, part of the Entry Form. As an Organiser, you will find very little time on the day of your event to argue fine points when Sponsors, Caterers, Gate Crew and a whole host of other people are demanding your time. With the best will in the world, it is not the time to go making up rules and refining the scoring system – have it all ready and well-rehearsed beforehand.
Timing
Suggested overall timings are given in the Event Rules section of the Entry Form and you can extrapolate overall event timings from these. You may not know at the time of accepting entries how many entrants you will have, so It is acceptable to ‘tune’ the precise timing of your event to suit, provided again this timing is communicated efficiently, accurately and effectively.
Remember to allow for comfort breaks for judges and demonstration flights from acknowledged 3D pilots, who we hope will be delighted to support your event for the overall benefit of 3D

3DX Micro-site
A 3DX micro-site will be made available for the event organiser to populate. It is the Organiser’s responsibility to ensure that this is kept up to date and post-event information such as results, a report, pictures etc are added. This micro-site will live from year to year with each event, and should be updated by the organiser regularly.
Sponsorship
3DX expects to bring sponsorship to your event, and in return requests that you bring sponsorship to 3DX. 3DX sponsors may well request banners, tradestands and other presence at your event, for which 3DX will extract a pre-agreed price and forward an agreed percentage of the proceeds to you on conclusion of a successful event. 3DX should have first refusal of all locations within your event, as defined on your site diagram.
3DX Event Types
It is recognised that 3DX events will be of different types, ranging from small local events, through regional events to private and closed events. Opportunities for 3DX sponsors will vary according to the type of event, and this will be reflected in the commercial arrangements offered by 3DX.
3DX Logo
The 3DX Logo must be displayed distinctly and individually. It may be used on the event website if it exists and on correspondence. It must not be made part of any other logo, incorporated into any other logo or device, not used on any sort of merchandise without prior permission of 3DX. If displayed on a website, the ‘mouseover’ should be ‘The World 3D Format’.
The logo is only to be used while the event is part of 3DX, must not be used until this agreement has been duly signed and acknowledged, nor be used after the event has ceased to be part of 3DX.
Confidentiality
The event Organiser and 3DX undertake to hold all 3DX information confidential, and not to disclose such information to any third party.
Infrastructure
The Infrastructure, Safety and Successful running of the event are the responsibility of the Organiser. The Organiser hereby indemnifies 3DX from any responsibility relating to Insurance, Safety, Costs, Charges, Losses or any other liability relating to this event.
